Barcodes (Individual Items)

Barcodes are individual pieces of equipment with which you may track which jobs they are being sent. They are not required, and we recommend that you not use barcodes initially until you are comfortable using the system.

Serial numbers and barcodes are two sides of the SAME coin. First you define an item by giving it a barcode. This DOESN'T have to literally be a barcode label, but simply a UNIQUE identifier, e.g. 001234, 001235, etc. Then you supply all the other info that is uniquely associated with the item, e.g. serial number, date purchased etc. Then in order to track these unique ITEMS in the rental process you need to send them out and this is when you MUST enter the barcode number into the Dispatch form.
You can do this by actually scanning the item, or typing in the barcode number, but either way, if, and only if, you want to track individual items then the barcode must be entered during the dispatch process.
Only THEN will the system record the individual items that went out on a job, so only THEN can any of the paperwork show either the barcode or the serial number or both.

For inventory you may wish to enter your equipment information. To start entering, select the barcode tab.

Press the 'New' button, this creates a new blank record or use the Clone button to create a copy of the current Barcode, in this situation, if possible, RentalDesk NX will automatically number the new barcode

Enter the appropriate information and press the 'Save' button.

BarcodeThis is the barcode or unique identification number of the piece of equipment. This should be entered exactly as on the barcode including leading zeroes. RentalDesk does not create this number, you will need to enter the barcode number so RentalDesk knows what this number means.  
 
Serial NumberUsed to store the Manufacturers Serial Number.  
 
Type DescriptionChoose what type of equipment from the drop down menu to which this barcode will be attached. Anytime this barcode is scanned, RentalDesk will check out 1 of this type of equipment.  
 
Acquisition Date/PriceThis is the date purchased and the price paid for this item.  
 
Customer FieldThis is an extra field where you can store additional customer number such as asset control tag numbers.  
 
Disposal Date/ PriceThis is the date that this item was removed or disposed from inventory.  
 
DeletedThis shows if this item has been deleted from inventory. If the unit is found, it can be returned to inventory, and the history of that barcode is not lost.  
 
CurrencyThe currency for this barcode is selected from the drop down.  
 
Stocklevel & Stock In/Out This performs two functions:  
               i) shows the quantity owned of the specific type  
               ii) pressing the ellipses button allows stock to be added/removed for the type associated with the current barcode, thus enabling stock levels to be updated as barcodes are added or removed from the database.
