Managing Late returns

Equipment that has been checked out becomes "Late" if the current date/time is later than the back date of the equipment list. Once the equipment is tardy, it will appear on the Late Returns List of the Hire Book. Equipment that appears on the Late Returns List is considered overdue, and becomes unavailable for rental/hire for the next 24 hours from the current date & time.

 

You have 3 choices on how to manage your late returns. Each choice should be considered carefully, as it could impact the pricing calculated for the equipment list.

 

1. Extend the Back date of the Equipment List

You may simply open the equipment list and change the back date to a new later date. However, this could alter the rental price of the equipment list, unless the Price Lock is turned on.

 

2. Manage Shortages from Extension Equipment list (Equipment list>edit menu)

A Hire Extension will create a new equipment list using the back date of the original equipment list as the start date, and it will also add an "-EXT" extension to display the equipment list as a Hire Extension. The new equipment list will reflect the pricing of the extension without altering the price of the original list. You will then need to "close" the original equipment list by returning all of the equipment from the original list

 

3. Manage Shortages From a Parallel Equipment List (Equipment list>edit menu) - This creates a new equipment list using the date out of the original list for the date out of the shortages list. Equipment that has not been returned is then removed from the original list and moved to the new list. The new list uses the originals equipment list number, but then adds a "-SHL" extension to indicate it is a shortages list. This impacts the pricing of the original list as the equipment has been removed from the list.
